Versatile Enterprise™ applies consistent retention policies to physical as well as electronic documents, regardless of media type, location, or disposition status. Enterprise can meet any RM business process challenge: active file maintenance, inactive file maintenance, electronic records and e-mail management.
Enterprise supports your complex file classification system, using multiple-level record structures as the foundation for records retention schedule development. These record structures ensure that record series are entered uniformly. User Profiles in Enterprise extend the security options by allowing the administrator to customize fields on the Files, Boxes, Document and Record Series Screens. Administrators are allowed to bill departments for records management functions. Audit Trail provides administrators with a tool for tracking changes made to your records. Strategies are used throughout Enterprise as a powerful means for searching, viewing and reporting on current data. Transfer and destruction dates may be either manually entered or automatically calculated/updated by the retention processor service that is continually running. The record series assigned to your records becomes the basis for their calculated retention policy.
Enterprise supports customization at many levels: field names and properties, user-defined fields, custom lists, and system-wide terminology. Its comprehensive security system allows access to functionality and data in records to be granted or denied to groups of users. Fields on screens may be renamed, hidden, or required and the changes assigned to groups of users with the use of profiles.
Several add-ons are available that expand Enterprise’s capabilities:
Versatile Color Label Designer
Prints custom color-coded label designs for files or boxes. The colors printed may be tied to values in the database. Users can design and print labels right from within the Versatile software or import TabQuik® design files.
Versatile ERMS
Applies the power of Versatile Enterprise’s physical records management to electronic records.
Versatile Imaging
Enables images to be managed as records. Retention policies can be established to govern the life cycle of electronic images as well as tangible physical records—all in the same powerful application.
Versatile Import
Reads data from virtually any data source and populates the data tables for versatile Enterprise.
Versatile Notification System
Allows administrators to create custom notifications for various processes that occur within Versatile, such as boxes being added, checkout requests being sent or received, items due for destruction, etc.
